Exhibit Logistics
  • Complete and submit application to exhibit.
  • Identify budget line items and help you reduce costs, whenever possible.
  • Review and track deadlines for ordering exhibit services from the exposition company.
  • Complete and submit service orders in advance to receive discounted rates.
  • Determine shipping deadlines, schedule delivery and pick-up of booth.
  • Track freight schedule and confirm that delivery dates are met.
  • On-going communication with show management staff to assure the best possible booth location is obtained, and proper company representation and recognition is in the conference syllabus and exhibit guides.
Exhibit Management

With the client direction and budget approval, we will provide the following management services:

  • Exhibit house coordination; upon approval by client, we coordinate necessary changes and or modifications to existing exhibit property.
  • Coordinate changes of booth graphics based on audience of show.
  • Locating appropriate rental property for the show.
  • Work with design teams to create new exhibit properties.
  • Arrange for the transportation of marketing materials, to and from the exhibiting venue.
Group Housing & Registration
  • Secure a required block of rooms based on client needs.
  • Submit deposits and paperwork in a timely manner prior to deadlines.
  • Provide hotel rooming lists to housing bureau and hotels.
  • Communicate all updates regarding arrival and departure changes directly with the housing bureau and hotels.
  • Complete and submit necessary forms and payment to register attendee badges.
  • Obtain company guest badges for client prior to their arrival

With the client direction and budget approval, we will provide the following management   services:

  • Maintain a global master calendar of trade shows to ensure optimal scheduling and client experience; work with appropriate internal partners to identify and manage potential conflicts or gaps.
  • Develop a trade show strategy for the entire year. Determine which shows to attend or avoid.
  • Develop creative and innovative trade show strategies with the goal of increasing booth traffic, gathering leads and ensuring the best ROI possible.
  • Development of new trade show collateral.
  • Manage vendors for printing needs of trade show collateral.
  • Identifying and implement a lead tracking system/process for all shows.
  • Directly manage and attend events as necessary.
  • Manage vendors for trade show giveaways as well as delivery of items to show site
  • Oversee program management and execution of all event logistics, from pre-show meetings to event execution to post-show evaluations.
  • Develop social media and advertising plans.
  • Abstract submission and follow-up process.
